Privacy statement

InspiringFifty seeks out and promotes woman working in technology. Privacy and technology are increasingly working hand-in-hand and it is only natural for InspiringFifty to join this standard. In the below privacy statement, we describe what information we collect and why we use it.

1. Information we collect

InspiringFifty lists the 50 most inspiring woman working in and with technology. We do this based on nominations either from you or from one of your colleagues, friends, partners, or whomever else sees you as a role model for other woman working in technology or wanting to work in technology. To inspire other woman to work in technology and to be able to list the fifty most inspiring woman in technology we process your personal data. We obtain these data either from you directly or from someone else.

Information collected from others or other platforms:

When someone nominates you, they provide us with personal data about you. We use this information to make a short list of nominees but also to contact you directly to obtain more information. The information we get from the person who nominates you depends on the details filled out by this person. Our nominations portal uses fixed entry fields some of which are mandatory and some which are optional. In addition, once we receive your nomination we might look into your achievements by looking into publicly available information for example websites/platforms that you have posted on where someone else may have posted information about your career achievements.

Information collected directly from you:

Once we receive your nomination we will contact you to inform you of your nomination. We will also ask you to provide more information about yourself, this way we can obtain a full understanding of why exactly you are one of the 50 most inspiring woman in technology or why we should nominate you.

Categories of data that we process

Mandatory fields (required to be filled out):

The Chapter: InspiringFifty consists of multiple chapters each that list their own fifty inspiring woman working in technology. The chapter designated will be the country you are working in and you will also be judged by the judges assigned to the chapter.

The Category: To strike a fair balance between the different sectors and companies woman can work for all nominations are categorized by the sector they work for. This data will also be used and analyzed so we can communicate through different media channels what type of sectors inspiring woman work at.

Job title and Company: Technology is not only working for big technology corporations. InspiringFifty also recognizes woman that work for government agencies or universities. As long as you are working in or with technology you can be nominated. Naturally we would like to know where you work and what your function is so we can see whether you are eligible for nomination. We will also use this data to perform analysis, so we can communicate through different media channels what type of companies and functions our inspiring woman work at.

E-mail: We ask for your e-mail, so we are able to contact you to inform you of your nominations and to send further communications to you around the nomination and selection process. The e-mail might also in the future be used for additional communication around events and interviews.

Country: InspiringFifty lists the fifty most inspiring woman on a country and sometimes continent basis. We therefore ask the nominator to indicate the country where the woman works so we can nominate you in the correct country.

Short Biography: When we post the list of 50 most inspiring woman in a country we include a short biography about what you have achieved and how you came to where you are today. This short biography might inspire others to choose a similar path. The content of this biography will depend entirely on the path you have taken and the information you or the person that nominated you provide us with.

Photograph: Together with your short biography we like to also put a face to the name if you are ultimately selected to be one of the fifty inspiring women in technology. Therefor during the nomination process we will ask you to submit a good quality photo of yourself, so we can include it in the final list.

Why you are inspiring: We ask your nominator or you to provide a small description of why exactly you should be nominated for the Inspiring 50 list. This might be something you have achieved or the career path you have chosen. The content of this description is up to you and/or your nominator. Based on this information we will ultimately make the list of 50 most inspiring woman.

Optional Fields (do not need to be provided):

Telephone number: Nominators can/have the option to provide us with a telephone number, to enable us to contact you about your nomination and to communicate with you around the nomination and selection process.

Weblinks to your LinkedIn, Facebook, Twitter, Instagram, Wikipedia page: Nominators can/have the option to provide us with a link to your social media profiles. This link is useful for the specific jury members of a certain region, someone is nominated for, to find more information about the nominee.

2. Purposes and lawful basis for processing.

We use your personal data primarily for achieving the goals of our foundation: to inspire other woman to work in and with technology. We try to achieve this through publication of a list of the 50 most inspiring woman working in and with technology and to create news and events around this list.

For the nomination and ultimately to create the InspiringFifty list: Our main purpose for processing personal data is to build the InspiringFifty lists by receiving nominations, to judge the nominees, to select the candidates that will be on the InspiringFifty list and to appoint a winner. We do this by collecting the information from you and third parties, sharing the information with our judges, creating short and long lists. If your name is nominated by another individual than yourself, we will base the initial use of your data based on our legitimate business interest. After we have assessed your initial nomination and want to proceed we will contact you and ask for your consent to continue with the process. You have the right to withdraw this consent at all times.

To communicate with you about your nomination, events, news, interviews and new awards:

We will use your personal data to communicate with you. First and foremost, about your nomination for InspiringFifty and follow-up activities that follow after your nomination, such as events and to ultimately communicate the winners. Other types of communications will exist of giving updates on events that we organize, interviews that we want to plan, upcoming awards, and about news that we publish. The initial contact will take place based on our legitimate business interest, during this contact we will ask for your consent to send further communications to you. You may withdraw your consent at any time.

To communicate with others about our foundation and what we are trying to achieve:

We use your personal data to communicate about our foundation, achievements and the inspiring lists. We do this through e-mail, only to people that have indicated that they want to receive updates from us, and also, for example, through social media where we share our winners and achievements. The use of your personal data for this ground is based on our legitimate business interest. We do so to further our objectives to make female role models visible to woman wishing to build a career in technology. The personal data used in these communications are from the winners and nominees who have given prior consent to be listed on our website. If you do not wish to be included in these communications you have the right to object to our use of your personal data for this purpose. If you do so we will reassess our legitimate interest in your specific situation and take any objection grounds raised by you into consideration.

To perform analytics:

We use your (aggregated) personal data to run minor analytics, such as to index what categories of jobs are most present on our lists. We do this, so we can create newsletters to promote our platform, and to set strategies about the future of InspiringFifty.

The use of your personal data for this purpose is based on our legitimate business interest to further grow the not for profit InspiringFifty community. The personal data used in analytics are primarily aggregated data. If you do not wish to be included in these analytics you may exercise your data subject right to object.

For our day to day business purposes:

Just like any foundation we use IT systems, sponsors and websites. We use these to promote our platform, to store the information we obtain about you and other nominees, to call and e-mail about our work and to create strategies about the future of InspiringFifty. Most of these business purposes will not contain your personal information, but when it does we will always try to minimize the use of your personal data. If we use your personal data for this purpose, we do so based on our legitimate business interest to be able to run our foundation. Any personal data used for this purpose is limited. If you do not wish to be included in these communications, you have the right to object to our use of your personal data for this purpose. If you do so we will again reassess our legitimate interest in your specific situation and take any objection grounds raised by you into consideration

3. Transfers to third parties

When creating the InspiringFifty lists and during the course of our normal business we will share some of your data with specific third parties. InspiringFifty only works with partners that are fully compliant with all privacy regulations so that data is stored in the cloud on EU servers.

Software providers: We use cloud-based software to store and host your personal data as well as third party e-mail software to send out newsletters. Examples are Salesforce, Surveymonkey.

Social Media: We will post the InspiringFifty list, or a part thereof, winners on social media, which also includes individual winners.

Partner organizations: In some countries we rely on the use of third parties that run and host the InspiringFifty contests.

4. Storage period

InspiringFifty will hold the data for a maximum period of 7 years, after which the data will be deleted from all storage locations or archived for historical purposes.

5. Data subject rights

While we are the ones determining how we use your personal data and for what purposes, even if we ask for consent, it is still your personal data that we use. Because it is your personal data you have certain rights that you may call on. These rights are:

  • -  Right to access to your personal data that we hold about you (with reasonable time intervals)

  • -  Right to ask us to change any personal data that we hold about you that is inaccurate

  • -  Right to ask us to delete your personal data

  • -  Right to ask us to temporarily stop processing your data

  • -  Right to ask us to provide you with a copy of your personal data that we used based on your consent or on a contract with you in a machine-readable format, so you’re able to share this data with other companies.

  • -  Right to object to our use of your personal data that we use based on our legitimate business interests.

    When you make any of these requests we will perform an assessment to see if we can indeed fulfill your requests or whether there are reasons that we might not be able to (fully) fulfill your request. We will try our best to always fulfill your request to the extent that we can. In all cases we will inform you within one month of our decision. In some exceptional circumstances we might inform you that we need to extend this timeframe. In all cases you have the right to lodge a complaint at the supervisory authority of your country if you feel that the assessment we made was not satisfactory or if you object in any other way about our use of your personal information.

InspiringFifty only works with (software) partners that are fully GDPR and privacy compliant.
